After being asked 7.2 bajillion times what we use for x/y/z, we finally made a list...

*IMPORTANT NOTE*: We never recommend anything that we don't use ourselves. So, these are our favorites, all of which we use, and we fully endorse them. Furthermore, integration is vital to us. So, almost everything on this list is connected through built-in integrations or through Zapier / IFTTT / Automate.io / Microsoft Flow. If you want help with integrations or setting up your software stack / integrated software ecosystem, let us know. What it’s for:
Email, file storage, docs, spreadsheets, presentations, etc.

Why we use it (and love it):
Flawlessly integrated with everything.
Best software backbone for a company.

Important integrations:
Ummm, integrates with everything except our toaster.

What it’s for:
Team and Project Management

Why we use it (and love it):
Trello is sorely lacking in workflow tool features and team planning features (sub-tasks, timelines, etc). Asana has what Trello has, but far more (Kanban board-style layout in addition to other options). Best tool on the market, hands down. Used by NASA and Airbnb. So, …solid street-cred.

Important integrations:
Slack, G Suite (Gmail, Calendar, Drive, etc.), Harvest, TSheets (intuit), Jotform, Mailchimp, Unito, Zapier, etc.

Business version (paid)
(There’s a free version, but the premium features are so worth it.)

What it’s for:
CRM, website chat widget, email marketing, and lots more (even in the free account).

Why we use it (and love it):
Everything listed above. :) Great tools, even at the free level. Very scalable and very well integrated.

Slack

What it’s for:
Team chat, team culture (especially for remote teams, quick file sharing, etc.

Why we use it (and love it):
Email is unwieldly and some things are not “tasks” or “projects”. Just a “quick question” for a teammember. Slack is so fun and so helpful for keeping remote or busy teams unified.

Lucidchart

What it’s for:
The most amazing flowcharts in the world, mapping any business process or chart. Just blissful.

Why we use it (and love it):
Everything, everyyyyyything works so intuitively, just like you’d expect it to work. Such a great app and we love the clarity it brings to our team when we are trying to map our internal processes and get on the same page.

What it’s for:
Brilliantly smooth appointment setting, fully automated by a really smart bot that checks our calendar and our customer’s calendar. Awesome.

Why we use it (and love it):
The bots (named Amy and Andrew) understand are so natural and human-like that most people don’t know they are bots). It’s amazing.

Zoom

What it’s for: Flawlessly smooth web meetings and webinars (1-on-1, small groups, or webinars).

Why we use it (and love it): It’s incredibly easy for our clients to join, even if they have never used Zoom. Also, the quality is just so good and the per user settings and account settings make it easy to make every meeting go just like we want (and with auto-recording). Lastly, it is incredibly well-integrated with all the software we use (email, calendar, scheduling apps, etc. etc. etc.)

Version we use: Pro version (paid). There’s a free version too.

ClickFunnels

What it’s for: Laser-focused sales funnels. Websites are brochures. ClickFunnels sales funnels are sales machines.

Why we use it (and love it): It helps us get rid of distractions for visitors and get them hyper-focused on the value we are providing so that we can start a free or paid relationship with them (getting them into our funnel). We will eventually be tightly integrating our product funnels with our website so they work seamlessly together.

Version we use: ClickFunnels (paid). We hope to be on the ClickFunnels full Etison Suite in the next few months. There is a 14-day free trial to get a taste.

QuickBooks

What it’s for: Managing all things finance (accounting/records, invoicing, payment processing, etc).

Why we use it (and love it): QuickBooks is definitely the most widely integrated financial tool available, period. Data accuracy and saving time and hassle of money management are top priorities for us. So, QuickBooks, the defacto standard, was our answer.

Version we use: Essentials version (paid). They have a Simple Start version and a Self-Employed version, both very cheap. And, to help you get started, they often run a deal for 60% off for the first 3 months.

Teachable

What it’s for: Creating super easy-to-build and easy-to-use courses and course bundles (both free and paid course)

Why we use it (and love it): You can use it for free and only pay a percentage when people buy your course. Very low risk way to get started. Beautiful interface. Great training and support!

Version we use: Basic version (paid). There is a free version too.

What it’s for: Finding the perfect voiceover talent for your videos, projects, ads, etc.

Why we use it (and love it): The platform is incredibly easy to use and is so helpful in finding “just the right voice”. Wide range of flexible pricing of different ranges of talent and experience. Love it!

Version we use: Free to post a job. Pay only when you decide to hire voice talent.

What it’s for: Extremely fast turnaround on transcription services.

Why we use it (and love it): It integrates so well with Youtube and Facebook with all the right supported formats. Incredibly high quality results. Fantastic service. We are hooked. And, super affordable.

What it’s for: Making gorgeous, high-quality videos and screencasts.

Why we use it (and love it): Perfect blend of ease of use and powerful features. Great support from the company and from the millions of super-fans around the world. We are so impressed.

Version we use: Camtasia / Snagit Bundle. There’s a great free trial to let you try it out.

What it’s for: Easy, clean, high-quality screen recording and screenshots (with editing).

Why we use it (and love it): It launches pretty quickly and the user interface is very easy to use (even though it’s so powerful).

Version we use: Camtasia / Snagit Bundle. There’s a great free trial to figure out if it’s right for you.

What it’s for: Camtasia + Snagit in a blissfully simple, well-integrated bundle.

Why we use it (and love it): Perfect blend of tools for expert-quality videos, screen recording, and screenshots.

What it’s for: Incredibly straight-forward, quick, hosted screen recordings.

Why we use it (and love it): Loom is perfect for providing very quick visual answers to client questions instead of spending 20-30 minutes typing emails to help clients troubleshoot. Loom is by far the easiest-to-use screen recording tool available.

Zapier

What it’s for: Integrating 1,500 different software tools and apps with pre-built, easy-to-use, plug-and-play “zaps” (integrations) to connect software tools that aren’t built with native integrations.

Why we use it (and love it): It is the perfect tool for connecting our whole software ecosystem to make sure all our data is accurate and up-to-date. And, it reduces and automates so many of our tasks that used to be manual.

Version we use: A special free account we were grandfathered into many years ago. But, if we were to recommend one now, start with the free account to get a taste. Amazing tool.

Think Board X

What it’s for: Brainstorming on a real whiteboard (stick-on for easy, 30-second installation) and automatically digitizing our brainstorming sessions.

Why we use it (and love it): Sometimes nothing beats being able to draw out a plan or thoughts on a whiteboard. AND, when we finish, we can snap a pic with the app and auto-digitize our notes and drawings and send to Google Drive, email, our planning apps, etc.

Version we use: Five “Thinkboard X -Large” versions and three “Thinkboard X - Small” versions.

Squarespace

What it’s for: Creating slick, gorgeous websites with close to zero tech skills.

Why we use it (and love it): The templates are great starting points. Support is great. The pricing packages let you start small and grow as your business needs grow. Also, it helps prevent design mistakes and setup mistakes. Very simple.

Version we use: Business version (paid). There is a very flexible extended free trial, so you don’t pay until your website is ready to go live.

Weebly

What it’s for: High-quality, clean, easy to build entry-level websites. With some planning, these can be very high quality.

Why we use it (and love it): Several of our projects just aren’t serious enough yet to be ready for Squarespace. We love Weebly because it’s high-quality, super inexpensive (and has a free version), and the sites can be duplicated.

Version we use: Connect version (paid). There is a great version though. Perfect for getting started.

What it’s for: Email marketing and email campaign management.

Why we use it (and love it): Mailchimp has a great free account for getting started with any new project or company. Very easy to scale up when ready.

What it’s for: Lead forms, email opt-ins, and visitor tracking.

Why we use it (and love it): The free version provides amazing value. Such a slick way to capture emails and manage automated email outreach.

What it’s for: Brilliant, high-converting email marketing. Gold-standard, especially for creators.

Why we use it (and love it): ConvertKit and GetResponse are really the places to move once you outgrow the Mailchimp free account.

GetResponse

What it’s for: Excellent, easy to use, high-converting email marketing. Widely used and well integrated.

Why we use it (and love it): To be honest, we are still trying to make a final decision between ConvertKit and GetResponse. Both are fantastic tools with strong integrations. More conclusive information to come. :)

What it’s for: Customized dashboards for high-level and drill-down visibility into the performance and growth of our company.

Why we use it (and love it): We primarily rely on Octoboard for insights into our social media engagement and growth across all platforms. Octoboard is the best blend between great affordability and a strong feature set.

Version we use: Growth version. They have an excellent free trial and a very cheap Starter Annual plan.

Why we use it (and love it): Widely supported. Well-integrated. Excellent features for storing and accessing all sensitive data. Also, incredible password sharing features (for sharing without revealing a password). Lastly, great tools to ensure secure passwords (password generator, password replacement reminders, etc).
